FleetCache, LLC ("FleetCache," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our fleet compliance management platform.

1. Information We Collect

We collect information that you provide directly to us when you create an account or use our services:

• Account Information: Full name, email address, phone number, and password.
• Company Information: Company name, join codes, and fleet structure (drivers, trucks, trailers).
• Compliance Documents: Uploaded documents including CDLs, medical cards, insurance certificates, inspection reports, and other credentials. This includes document numbers, issue dates, and expiration dates.
• Appointment Data: Scheduled dates, times, locations, and notes for compliance-related appointments.

2. How We Use Your Information

We use the information we collect to:

• Provide, maintain, and improve the FleetCache platform
• Track document expiration dates and compliance status
• Send transactional notifications via email and SMS (document expiration alerts, appointment reminders, company invitations)
• Authenticate your identity and secure your account
• Generate compliance reports and credential books
• Respond to your requests and provide customer support

3. Information Sharing

We do not sell, rent, or trade your personal information to third parties. We do not share your mobile phone number, SMS opt-in data, or any other personal information with third parties or affiliates for marketing or promotional purposes. Mobile opt-in data is never shared with third parties for any purpose other than delivering the messages you have requested. We may share your information only in the following circumstances:

• Within Your Company: Company admins and managers can view driver profiles, documents, and compliance status for drivers in their fleet. Drivers can only view their own documents and those of their assigned vehicles.
• Service Providers: We use trusted third-party services to operate our platform, including Supabase (database and authentication), Vercel (hosting), Stripe (payment processing), Resend (email delivery), and Twilio (SMS delivery). These providers only access data necessary to perform their services.
• Legal Requirements: We may disclose information if required by law, regulation, legal process, or governmental request.

4. Data Storage and Security

We implement industry-standard security measures to protect your information, including:

• Encrypted authentication (JWT tokens)
• Row-level security on all database tables
• Secure file storage with per-user access controls
• HTTPS-only connections

5. Data Retention

We retain your data for as long as your account is active. Archived driver and unit records are retained for a minimum of 3 years to comply with FMCSA record-keeping requirements. When you delete your account, we remove your profile, credentials, and associated data from our systems. Authentication records are permanently deleted.

6. SMS and Email Communications

By providing your phone number, you consent to receive transactional SMS notifications from FleetCache. You can opt out at any time by replying STOP, disabling notifications in your account settings, or contacting us. For full details, see our SMS Consent & Opt-In Policy.

By providing your email address, you consent to receive transactional emails including account verification, password resets, and compliance alerts.

We do not send marketing or promotional messages.

7. Your Rights

You have the right to:

• Access your personal data through your FleetCache account
• Update your information through your account settings
• Delete your account and all associated data through Settings → Delete Account
• Opt out of SMS and email notifications at any time
• Export your credentials via the Credential Book feature

8. Cookies and Local Storage

FleetCache uses browser local storage to maintain your session and save preferences (such as dark mode). We do not use third-party tracking cookies or analytics services.

9. Children's Privacy

FleetCache is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the "Last updated" date.
